Please find attached the usage reports for the past four years. A search of Council’s electronic document records has been unable to find the usage reports for January to July 2020 and March 2021.

A search of Council’s email system using the key words ‘Mamaku Hall Committee’ and from/to Eric Tonkin, Facilities Lease Coordinator, has been unable to locate any emails. Notification of any hall maintenance required was generally by phone and was not recorded electronically. - Building WOFs for the
Mamaku Hall over the last 5 years:

Once every 12 months, for the prior year
-What is involved/reported on - BWOF is for specified systems only:
- SS2 – Fire alarm warning
- SS$ - Exit and emergency lighting
- SS14.2 – Signs for specified systems 1-13
- SS15.2 – Fire exits/means of escape
- SS15.4 – Signs for communicating information for evacuation
- SS2/SS4 – Inspections and testing is carried out during the year by specialised companies either monthly, three monthly or six monthly depending on the type required under BWOF. Companies currently used are Argus Fire Systems and BOP Electrical – Colab Building Compliance
- Daily occupancy sheet which covers SS14.2/SS15.2/SS15.4 is the responsibility of the Hall Committee and is completed on the day when the hall is being utilised. The daily occupancy sheet is then checked by an IQP (Colab Building Compliance) who signs off the for the 12 month period.
- (This was not achieved for the BWOF year ending 2024 by the Hall Committee as the sheet was not signed, which meant a BWOF was not issued, only a B-Rad Certificate which is a non-compliance with compliance schedule).

- Cleaning of Mamaku Hall for 2023/24 year listed as $801 but the hall was supposedly only booked for 14 hours – why was the cleaning fee so much?
